Job Description
We are on the lookout for a dynamic Part-Time Administrative Assistant to enhance our administrative team’s capabilities. This position will offer invaluable support to our Office and HR Management teams, contributing significantly to our commitment to excellence as a leading supplier in our industry. You’ll be part of a close-knit group, working alongside our senior leadership including the… President, General Manager, and various department heads, all dedicated to fostering a supportive and collaborative environment.
What You’ll Do
Manage Accounts Payable/Receivable in collaboration with the Office Manager.
Engage in project invoicing utilizing the ShopPak ERP system.
Facilitate the archiving of completed projects within the ERP system.
Handle processing of contracts, insurance certificates, and other project documentation.
Support the Engineering and Production departments with the procurement process.
Take the lead or assist in spearheading special projects, committees, and task forces.
Serve as the first point of contact, handling phone inquiries and directing them appropriately.
Welcome office visitors warmly, maintaining a professional demeanor.
Tackle additional administrative tasks and projects as needed.
Contribute to the company’s marketing and social media efforts as required.
Who You Are
You have 1-3 years of experience in an Office Administration role.
Prior experience in the manufacturing or construction sectors is highly regarded.
Proficient with web-based applications and Microsoft Office Suite, especially Excel, Word, and Outlook.
Strong numerical skills for handling invoices and general business math.
You exhibit leadership qualities, initiative, and the ability to multitask effectively in a dynamic setting.
Highly organized with a meticulous attention to detail.
Excellent communication skills, both written and verbal.
A friendly, professional presence, and a trustworthy confidant.
Educational Background
Passionate about contributing to and enhancing our company culture.
An Associate degree or equivalent experience relevant to the role is required.
Our Work Environment
Flexible working hours between 7:00 am to 4:00 pm, accommodating personal and family needs.
Primarily office-based with options for remote work as necessary.
The role involves prolonged periods of sitting and computer use.
Occasional exposure to industrial settings, including noise, sawdust, and outdoor elements.
