Who We?re Looking For The primary responsibility of this role is to administer all aspects of the Toyota Amex Corporate Travel Card program for all participating entities (i.e. TMNA, TEMA, TFS, TMIS, NAMCs, and JStaff). This position serves as the Travel Cards program SME with a strong focus on customer service while… ensuring the program?s policy/guidelines are followed, and contractual obligations are met with our service provider. The role?s key functions include servicing existing account requests/inquiries, program compliance review/monitoring/review for fraudulent activity, minimizing delinquency, and maintaining/fostering relationships with internal stakeholders, partners, and vendors in the most effective manner. What You?ll Be Doing Manage the processing of new card applications, including onboarding cardholders and/or communicating policy/procedures as needed Manage customer requests/questions for AmEx Travel, including Air Travel card programs using the 1TS Ticketing system Trouble-shoot and resolve account issues utilizing both Chrome River and AmEx systems to review/research transactions, and ensure initial customer SLA (2-3 business days) are met Ensure payments to AmEx Travel & Expense accounts are timely made by working with Accounts Payable and AmEx Account representative so that late fees and/or delinquent charges are not incurred Request and manage credits due T/M Travel card accounts as needed Conduct annual Cards Affirmation process, including initiating and tracking the receipt of AdobeSign from active cardholders and approvers, including closing out inactive/un-responsive accounts Review all relevant BOT output reports daily, weekly, and monthly to monitor compliance and proactively process/maintain Exiting T/Ms accounts as well as T/Ms who are on LOA Create ad-hoc reports related to cardholders, transactions, and overall spending for the Travel Card program as applicable Analyze Spending data to mitigate high-risk, non-compliant purchases to support and increase customers’ awareness of the program?s policy and procedures Support Audit requests, and proactively develop/enhance program controls to mitigate risks or fraudulent activities. Inform management and/or HR as appropriate if escalations are needed Actively participate in process improvement projects relating to all aspects of the AmEx card programs by leveraging the RPA team to automate redundant tasks (developing BOTs) as applicable Develop collateral materials & publish updates on Travel Card program communication to MyTool Box and/or SharePoint site as needed Serve as the backup to the Pcard administrator on Flex schedule coverage by: Process new card applications Manage 1TS ticketing portal queue, and address customers? account inquiries/issues Educate and/or work with cardholders to ensure their accounts are in compliant Review account profiles and update Amex CAR system when cardholders/approvers change roles for the Pcard program, and/or reset their system passwords What You Bring Bachelor?s degree required or equivalent experience (finance/business and/or customer service) Experience resolving issues in a timely manner and mitigating risk. General accounting experience required, plus knowledge of AP and banking payments set-up Familiarity and experience with trends related to corporate travel and ability to strategically prepare for potential issues that could negatively impact the cards program Experience using Microsoft applications (Excel, PowerPoint, Visio, Access, Word, etc.). Working knowledge of SAP financial systems; Ariba P2P; Third-party systems; Websites/URLs; SharePoint Added Bonus If You Have Understanding of Toyota’s NA (North American) operations and purchasing needs across all affiliates, and Procurement experience is a plus Ability to do reporting, process improvements, and efficiency.
